Cloud Release Notes 2026

We've been busy. A lot of what you'll see below started as your ideas and your support tickets - here's where it landed. Browse everything that shipped this year, including a few releases we're especially excited about. 🦄

September 2026 - Release 102

Catalog

Price and cost change history per product

Catalog products now include an Activity view showing a complete history of price and cost changes for each product — what changed, when it changed, who or what triggered the update, and which fulfillment location it applied to. This makes pricing questions faster to resolve and improves confidence in your product data.

Discontinued by Manufacturer label

The "Discontinued" label in the D-Tools catalog now reads "Discontinued by Manufacturer," with a tooltip explaining that the product has been discontinued from the manufacturer's catalog but may still be available through distribution or other channels. Your ability to mark products discontinued in your own catalog is unchanged.


CRM

Account history tab

Accounts now have a History tab on the Edit Account page for tracking interactions and communications. Each entry records the date and time the interaction took place, which member of your team is responsible, and what happened, and you can classify entries using your own list of history types.

Account and primary contact name syncing

Individual account names and primary contact names no longer stay linked once you intentionally make them different. When the two names still match and you edit the primary contact, you are asked whether to keep the account and contact in sync or save them separately.

New York City borough excluded from address line 2

Selecting a New York City address suggestion no longer fills address line 2 with the borough. Address line 1, city, state, and ZIP still populate normally, so there is no borough text to clear on every NYC address.

Configurable invalid-address handling on accounts

Because taxes are calculated from the address, an incomplete or invalid address can produce wrong or missing tax that is not caught until it appears on a proposal or invoice. Administrators can now choose from CRM Settings how strictly the Add Account, Add Account Address, and Edit Account Address pages enforce a valid address: leave the check off, warn and require confirmation before saving, or stop the save until the address is corrected.

History Types configuration page

Settings now includes a History Types page where administrators manage the master list of account interaction types. You can add, edit, and retire types in one place, while shipped defaults remain protected and types already in use cannot be deleted.

Last Contact column and filter on accounts

Account lists now support a Last Contact column and a matching Last Contact filter. You can see the most recent history entry date directly in the grid, sort by it, and filter accounts by contact date or by accounts that have never been contacted.

Country prefilled on additional account addresses

Adding another address to an account now prefills the country. If the account's existing addresses all share one country, that country is filled in automatically; if they span multiple countries — or the account has none to go on — the page falls back to your CRM default country setting. You can still change the value before saving.

Default country for new accounts

CRM Settings now includes a default country setting that prefills the country on the Add Account page, using either your company's own country or a specific country you choose. Existing behavior is preserved unless you opt in.

Date-range presets for Next To Do filters

The Next To Do filter on Accounts and Opportunities now uses date-range presets that match follow-up planning — this week, next week, and upcoming month or quarter ranges — plus an option to show records with no scheduled open to-do, so you can quickly find what needs doing, what has slipped, and what is coming next.

Add, edit, and delete account history entries

Authorized users can now add, edit, and delete account history entries directly from the History tab. The form defaults key fields like date, time, and salesperson to speed up logging, and save actions can immediately open a new history entry or a follow-up to-do.

Drawings

Items view from package and tag tooltips

You can now open an Items view directly from package and tag tooltips in Opportunity Quote plan view, letting you inspect included items, thumbnails, and quantities without leaving the canvas. Packages and tags that have no items are clearly indicated.

Project-level Engineering IDs for items, wires, and cables

You can now configure project-level Engineering IDs for items and for wires and cables separately from Inventory IDs. Items receive stable, human-readable IDs when added, and wires can be renumbered with a preview so updated IDs flow through drawings, labels, reports, and exports.

Tooltip field visibility controls

You can now choose which fields and icons appear in plan view tooltips from Toolbar Settings. Your tooltip layout preferences are saved to your user profile and applied across sessions, so you can reduce clutter and keep only the details you use.

Hide and show items, packages, and tags in plan view

You can now hide individual items, packages, and tags from a plan view directly from their tooltip without removing them from the BOM. Hidden elements can be restored from the BOM panel and return to their previous placement on the canvas.

Location and sub-location tagging

You can now create structured location and sub-location tags on drawings and associate items directly with them. Tags support default shapes for locations, doors, and windows, show item counts on hover, and group tagged items in exports and BOM outputs.

Index page creation in Documents View

You can now create an Index Page from the New Drawing flow and edit it in Documents View. The page starts with a centered index table, lets you choose which columns and documents to include, and saves as its own drawing type in Drawing Manager.

Drawing Number field in the New Drawing flow

The New Drawing flow now includes a dedicated Drawing Number field instead of requiring you to work that number into the title later. Drawing numbers can also be surfaced in title blocks and now appear as the first column in drawing index outputs.

Item Legend text size controls

Item Legend text no longer scales with canvas zoom, so it stays readable and consistent while you work. You can adjust legend text size with simple controls in the legend header, and your chosen size remains in effect until you change it again.

Item Info text size control in Plan View

Plan View now lets you control Item Info text size from Settings, and labels stay at that size even when you zoom in or out. Your chosen size updates all item labels immediately and is saved with the plan when you reopen it later.

Drawing number and type icons in Drawing Manager

Drawing Manager now shows a dedicated Number column so you can identify drawings by number directly in the list. Drawing types are also shown with icons in the list and preview panel, giving you a faster visual way to confirm both number and type.

Item information callout controls

Plan View item information can now hide the callout line from Toolbar Settings, and new plans default to callouts being off. Item info blocks also use tighter spacing and reduced padding, so labels sit closer to icons and take up less room on dense plans.

Structured item tooltips with floating legends

Plan view item tooltips now use a more structured layout with clearer metadata and a consistent action area. Packages, pairs, and tags can expand to show contained items and be pinned as floating legends, and tooltip field visibility remains configurable per user.

Duplicate and New Version drawing numbering

Duplicate and New Version now handle drawing numbers and revision history differently, so each workflow is clearer. A duplicate starts as a new independent drawing with a blank number and fresh revision history, while New Version keeps the same drawing number and continues the existing revision chain.

General

Single sign-on with your identity provider

D-Tools Cloud now supports signing in through your company's own identity provider, so you can centralize identity instead of managing separate D-Tools credentials. Per-tenant configuration covers domain verification, enforcement modes, just-in-time provisioning, and audit logging. This first phase delivers Microsoft Entra ID support, and tenants that do not enable SSO continue using D-Tools-managed usernames and passwords.

Permission search on users and user groups

Edit User and Edit User Group now include a search box in the Permissions area to make it easier to find the permission you are looking for. As you type, the list narrows to matching permission names while keeping the relevant section headings visible for context.

Ask D-Tools AI assistant

Ask D-Tools is your built-in AI assistant, right inside D-Tools Cloud. Ask questions about your business in plain language and get instant answers, get help using the product without leaving what you are working on, and move faster on real work by building and refining quotes, surveys, and proposals just by describing what you want. Ask D-Tools understands the context you are in, so when you are on a quote or a survey it is ready to help with exactly that, and you can type or simply talk to it. Administrators control who has access and can keep an eye on usage across the team.

Search filter on the Settings page

A search box has been added to the Settings page to make it easier to find the option you are looking for.

MCP server for outside AI assistants

The D-Tools Cloud MCP Server exposes Ask D-Tools to outside AI assistants. A dealer adds D-Tools as a connector in Claude or ChatGPT, signs in with their normal D-Tools credentials over OAuth, and can then ask questions about their own accounts, opportunities, quotes, and project health from inside the assistant they already use — plus search the D-Tools Help Center with cited answers. It is read-only by design and runs inside D-Tools Cloud's existing authentication and tenant boundary, so no API key is issued and no data leaves the customer's own account scope. Access is opt-in per user, controlled by the account admin in Settings → Ask D-Tools access, and metered against the account's monthly Ask D-Tools budget.

Inventory

More usable fields on asset QR labels

Asset QR labels no longer force a company-name title line, giving you an extra usable field slot on every label template. You can now choose fields such as Model, Brand, Part Number, Description, Tracking Number, and My Company Name from the normal label field list, with no change to QR or barcode behavior.

Product and category warranty defaults

You can now set default warranty coverage at the product and category level for asset-tracked inventory. Adding warranty coverage to an asset prefills from those defaults, with product defaults taking precedence over category defaults, and you can still edit the coverage before saving. Existing coverage never changes when defaults change.

Bulk-apply warranty coverage to existing assets

You can now apply warranty coverage to multiple existing asset records in one action from a product's Assets tab. Each selected asset receives its own independent warranty records, with dates resolved from that asset's own timing.

Warranty documents on assets

You can now attach warranty certificates, receipts, and terms documents directly to a warranty coverage layer on an asset for faster access during service and claims. Attached documents can be viewed, downloaded, and removed from the same coverage record, and those changes are tracked in audit history.

Warranty tracking for individual assets

Asset-tracked inventory now supports warranty records with multiple coverage layers on a single asset, so you can manage coverage at the individual-unit level instead of relying on spreadsheets or manual notes. Record manufacturer and extended warranties, track when coverage starts and ends based on that unit's actual lifecycle, and see coverage status, registration deadlines, and a timeline of overlapping or sequential coverage on the asset's Warranty tab.

QR labels on Avery label sheets

You can now print QR labels onto Avery 5160 and 5163 sheet templates from existing label-printing flows using standard office printers. Before printing, you can choose the starting position on the sheet so partially used label sheets can be reused instead of wasted.

Units or Pools prompt when enabling inventory tracking

When you first mark a product as inventory-tracked, you now choose whether it is tracked as Units or Pools instead of having that behavior assumed later. Check-in, receiving, and CSV import flows honor each product's recorded mode across inventory entry points.

Warranty coverage dashboard

You can now review warranty coverage across all asset-tracked inventory from a dedicated Warranty coverage page under Inventory. The page highlights expiring coverage and upcoming registration deadlines, supports filtering and summary counts, and lets you export the current view to CSV or Excel.

Asset and service plan cross-reference

Assets can now be linked to one or more service plans as a read-only reference on the Warranty tab. This shows which service plans also apply to an asset and lets you jump directly to those plan records, while keeping service plans separate from manufacturer and extended warranty tracking.

Open Box and Missing Parts asset conditions

Asset condition now includes Open Box and Missing Parts, and the full condition list is ordered more clearly from best to worst. Condition colors also appear consistently in the condition picker and in project and service allocation pickers, making it easier to spot asset quality before assigning equipment.

Account as a QR asset label field

QR asset labels now offer Account as a selectable field, using the same project account shown elsewhere in the app. You can add, remove, and reorder it like other label fields, and it stays blank for unallocated assets.

Clearer inventory checkout threshold

New accounts now default the inventory checkout trigger to Installed, and desktop inventory surfaces explain more clearly that the selected status works as a threshold. Settings, item status dropdowns, and bulk status changes now show which stages will check items out based on the current trigger.

Warranty snapshot in the inventory export

The per-asset inventory export now includes a rolled-up warranty snapshot for each asset. You can see overall warranty status, number of warranties, current coverage, and covered-through date while keeping the export to one row per asset.

Auto-checkout defaults to Installed

New accounts now default the inventory auto-checkout trigger to Installed instead of Picked, so inventory is removed from stock later in the workflow by default. Existing accounts keep their current setting unchanged.

Opportunities/Quotes

Deposit indication on quotes

Quotes now show a clearer indication when a deposit or payment has already been collected. A message block on the Edit Quote page links directly to the payment schedule when money is already present, and an indicator has been added to the quotes section on Edit Opportunity.

PDF download defaults on proposal templates

Proposal templates can now store default PDF download settings, so proposals inherit those choices automatically. Template defaults are applied when you create a proposal, refresh it from the latest template, or switch it to another template.

Proposal fonts and theme colors in rich text

Text entered through proposal rich-text editors now follows the selected proposal font and theme colors more consistently, across both proposal and template content. Hyperlink colors follow the Link Text setting, and matching body text updates when the Body Text color changes.

Assigned Engineer on opportunities

Opportunities now include a dedicated Engineer field alongside Salesperson, so you can record who is engineering each deal. Set it during create and edit flows, then filter, sort, export, and query opportunities by Engineer while changes are tracked in activity history.

Configurable invalid-address handling on new opportunities

Accurate tax calculation depends on a complete, valid address on the opportunity, so the tax and address warning in the project-based New Opportunity flow is now easier to see. Administrators can choose how the flow handles an invalid address: warn the user, warn and require confirmation before continuing, or block creation until the address is corrected.

Copy internal link removed from proposals

The Copy internal link action has been removed from the proposal editor. The link was meant for internal use but was easy to send to a client by mistake, so removing it keeps internal links inside your team. Existing internal links still resolve as before, and client-facing proposal sharing is unaffected.

Larger Terms and Conditions limit

The Terms and Conditions field on proposals and proposal templates now supports a much larger character limit, giving you room to store fuller legal text without needing to shorten or split it.

Payments/Accounting/Finance


Accounting V2 QuickBooks Online foundation

Accounting V2 now includes the provider abstraction and sandbox QuickBooks Online connection that underpin real-time sync. Sandbox QBO connections can complete authorization at the tenant level, and inbound webhook handling verifies signatures and rejects duplicate or replayed events.

Improved D-Tools Payments enrollment

The D-Tools Payments enrollment experience now includes clearer information about pricing, funding timelines, benefits, onboarding resources, and FAQs before you apply. You can also start or resume an application from Settings, Payment Schedule, and invoice creation, with status-aware guidance along the way.

Redesigned D-Tools Payments settings

The D-Tools Payments Settings page, Payment Schedule, and invoice creation now use a more consistent and scalable payment-method layout, making it simpler to review transaction fees, configure payment methods, and manage notifications in one place. ACH and Plaid ACH stay synchronized when reordered, and Sandbox users now access Simulate Deposit from Billing > Deposits.

Enhanced controls on payment reports

Payment, deposit, and chargeback reports now support enhanced centralized report controls. Sorting, filtering, refreshing, exporting, and timezone management appear in a consistent controls area above each report table, so you can narrow results and export the data you need faster.

Accelerated ACH rate updates automatically

The Bank Transfer fee shown in D-Tools Payments Settings now updates dynamically based on whether Accelerated ACH Deposits are enabled, keeping the displayed ACH rate and fee-cap language aligned with your account's current configuration.

Dashes and spaces in Tax ID fields

Tax ID 1 and Tax ID 2 on the Company Profile page now accept broader formatting, including dashes and spaces, so you can store tax IDs in the form you actually use and have them display correctly in custom reports.

Projects & Service

Assigned Engineer on projects

Projects now include an Assigned Engineer field that you can view and update alongside Salesperson and Project Manager. You can also filter, sort, and export projects by Engineer, and engineer changes are recorded in project activity, so engineering ownership stays visible once a job moves into delivery.

Separate external and internal change order numbering

You can now configure separate change order prefixes and starting numbers for external and internal change orders, so clients see a deliberate sequence on the documents you send them while internal adjustments run on their own track. Change order lists also include quick All, External, and Internal views plus summary metrics showing what is awaiting approval and what it is worth.

Lead technician and backup on projects

Projects can now designate one assigned resource as the lead technician and optionally another as backup, so schedulers and field staff know who is running the job and who steps in. These designations appear on the project team, can be changed or cleared, and support filtering and reporting by lead technician. Nothing changes for existing projects until you assign one.

Reports

Fulfillment location on the Sales Forecast report

The Sales Forecast report now offers Default Location as an optional column in the forecasted opportunities table. When enabled, it appears inline next to the existing columns so you can review each opportunity's fulfillment location without opening the record.

August 2026 - Release 101

Catalog

Catalog UOM pricing options

Catalog products now track a Purchase Unit separately from the Sell Unit, so supplier price updates no longer overwrite the product lengths you've set. Unit counts are visible in both dropdowns, and the Purchase Unit carries through to quotes and projects.

Import valid rows when a file has errors

Catalog Import now allows users to continue an import with only the valid rows selected when a file contains a mix of valid and invalid records. The review step also includes an update to prevent a dialog from covering and blocking the primary action controls.

CRM

Next To Do on accounts

Accounts now support a Next To Do field in grids along with a date filter to help teams find the earliest active to-do due date for each account. Related column ordering on the Accounts table has also been adjusted to place Mobile next to Phone and Type next to Name.

State names or abbreviations in address suggestions

A new CRM setting allows each customer to choose whether address suggestions use state abbreviations or full state names. When enabled, suggested addresses display and fill the abbreviated state value across supported address suggestion experiences.

Drawings

Movable item callouts with configurable fields

Diagrams can now display configurable item information panels beneath each item, with support for fields such as Item ID, Manufacturer, Model, Location, and Comment Reference. Panels can be repositioned on the diagram, retain a visual callout when moved, and work alongside a left-side legend that shows full comment text by reference.

Drawing documentation custom fields

Drawing and document records now support dedicated documentation metadata fields including Drawing Number, Issue Date, Revision Number, Revision Date, Revision Description, and Version Number. These fields are available in the API, user interface, import and export flows, and related document generation features.

Automatic item legends for Plan View and Connection View

Plan View and Connection View diagrams now automatically generate an Item Legend when a new diagram is created. The legend lists unique items with their names, quantities, and associated icons or images, and it updates automatically as items are added, removed, renamed, or replaced.

Shift-key one-to-many connections

Connection diagrams now support Shift-key multi-selection to create one-to-many links from a single source item to multiple targets in one action. After the connections are created, selections clear automatically, and a new Refresh control is available to reload the diagram state.

Cable type and color-by-cable visualization

Drawings now support Cable Type as a configurable attribute for connections and catalog products. Administrators can define cable types and colors in settings, users can assign or inherit cable types on connections, and diagrams can optionally render connection colors by cable type instead of signal type.

Cover page creation with simplified document view

Users can now create Cover Page drawings from the Drawings area using a simplified Document View tailored to cover page editing. The cover page mode hides whiteboard-specific controls while keeping relevant tools such as image upload, title block selection, print, save, and close.

Automatic I/O assignment for BOM products

Products added to a BOM are now evaluated automatically for I/O assignment. Device products retain existing I/Os when present, pull I/O definitions from the D-Tools Product Library when available, and receive a default I/O when no source data exists.

General

Current user pinned in person dropdowns

Person-selection dropdowns now pin the current logged-in user at the top of the list for faster self-selection. The rest of the list remains in alphabetical order below a divider, and the same user still appears in its normal alphabetical position as well.

Inventory

Inline asset editing on Project Item Status

The project Item Status and Scheduling screen now supports inline editing of asset metadata during the PO receive flow, allowing users to update fields such as serial numbers, locations, and other asset details without leaving the project page. The page also supports prefilled top-down allocation review, in-stock toggling, bulk warehouse location updates, exception notices, and permission-aware actions for checking in and allocating received assets.

Bulk actions on Project Manage Inventory

The Project Manage Inventory page now supports always-on inline editing for asset metadata, allowing users to update project assets directly from the project view at any time. The page also adds Print QR Labels, Bulk Edit, and Bulk Move actions, along with save behavior that reflects whether edits and allocations are being committed together.

Warehouse location labels and barcode scanning

Warehouse location labels can now be printed for all configured location nodes or for a selected location and its sub-locations. Scanning a location label can also be used in supported inventory workflows to auto-select the location and in the Scan menu to open a location-scoped bulk edit path.

Asset condition in CSV, bulk edit, and grids

Asset Condition is now supported in asset CSV import and export, bulk edit, and asset grid displays. Exports use the same condition labels shown in the UI, imports validate exact matches against supported values, and asset lists now show the existing condition badge and color styling.

Job Costing uses actual asset unit cost

Job Costing now uses the actual unit cost of allocated inventory assets when calculating actual product cost for asset-tracked items. This updated cost source applies consistently across the project Job Costing view, its CSV export, and the cross-project Job Cost Dashboard.

Print QR labels from Project Item Status

The project Item Status page in the PO receive workflow now includes top-navigation actions for Print QR Labels, Bulk Edit, and Bulk Move. Each action opens the existing bulk workflow pre-filtered to the assets currently displayed on the page.

Auto-filled project check-in for received assets

The project check-in flow for PO-received assets now auto-fills project allocation top-down based on the units in scope, so users can review and confirm pre-assigned allocations instead of building them manually. The confirm action now saves warehouse check-in, asset metadata, and project allocation together as a single atomic action, with support for check-in-only scenarios when no allocations remain.

Audit activity for removing stock items

Turning off inventory tracking for a product now creates an audit history entry. The log records the action along with the user and timestamp to improve traceability for stock item removal.

Opportunities/Quotes

Proposal acceptance date on projects

Projects can now display the proposal acceptance date as a read-only Accepted On field. This surfaces the actual accepted proposal date on the project without changing Opportunity Won On or any reporting behavior tied to close dates.

Unlock quotes permission

A new Unlock quotes permission is now available in Opportunities permissions. Users without this access will see quote unlock actions disabled, and the same locked-state messaging is also surfaced on the Edit Proposal page.

Better pasting from Word

The shared rich text editor has been improved to better preserve formatting when pasting content from Word, Google Docs, and web sources. This update restores more of the original structure and styling for pasted headings, bold text, and lists.

Set Opportunity to Won permission

A new Set Opportunity to Won permission gives teams more control over who can convert opportunities into projects. Users without this permission will see won actions disabled across edit, list, and kanban experiences, with guidance explaining why the action is unavailable.

Expandable tax breakdown on quotes

Quote summary areas now support an expandable tax breakdown so users can review each applied tax individually. Expanded details show tax descriptions in alphabetical order along with the taxable amount and rate for the current quote context.

Opportunity won banner on quote and proposal editing

The Edit Quote and Edit Proposal pages now show the same opportunity won banner used on Edit Opportunity when a quote has been converted to a project. This adds clear context about the quote's locked state directly on those editing surfaces.

Next To Do on opportunities

Opportunities now support a Next To Do field and date filter across the main opportunities list and several related grids and dashboard tables. The field shows the earliest due date for an active to-do linked to the opportunity, helping teams prioritize follow-up work.

Updated default multimedia proposal template

The default multimedia proposal template has been updated to replace the existing Terms and Conditions paragraph section with a Terms and Conditions section. The must-agree option for that section is now turned off by default.

Require proposal review before presenting

Organizations can now require quote proposals to be reviewed before they can be presented or shared. The update adds a proposal review setting, a permission to mark proposals as reviewed, review history tracking, and sharing restrictions for proposals that are still marked as not reviewed.

New Opportunity Timeline filters

The Opportunity Timeline filter experience has been expanded to better separate opportunity-level and quote-level activity. The search area now opens expanded by default, and the Show filter includes new options to narrow the timeline to specific activity sources.

Payments/Accounting/Finance

Payment schedules with dynamic calculations

Payment schedules now support dynamic calculation rules within each payment milestone, including fixed amounts and percentage-based calculations tied to products, labor, phases, systems, locations, categories, and adjustments. Payment totals automatically recalculate as quote values change, and these calculation rules can also be saved in payment schedule templates.

Bulk update invoice status

Invoice list views now support bulk status changes through the existing multi-select action menu. Users can select multiple invoices, choose a new status from the available status list, and update all selected invoices in a single action.

Salesperson filter on invoice views

Invoice list views now include a Salesperson filter across the Billing tab, Invoices tab, and Account invoice views. The filter works with existing search, sort, and filtering behavior to help users narrow invoice results to a single sales rep.

Payment Schedule tab and terminology updates

The quote experience now includes a dedicated Payment Schedule tab that centralizes payment milestones, allocation coverage, and deposit collection settings. The platform also updates user-facing terminology from Payment Terms to Payment Schedule for quote milestone and template workflows.

Projects & Service

Minute-level time entry

Manual time entry now supports minute-level start and end times on both web and mobile forms. Saved entries, exports, and related displays preserve the exact times entered instead of rounding to 30-minute increments.

Expanded Job Costing CSV export

The Job Costing CSV export from within a project now includes the full set of by-phase columns shown in the table, including total cost actual, budgeted, variance, and percent variance fields. Exported files also now preserve zero values and 0% values instead of leaving those cells blank.

Change orders inherit auto-applied adjustments

Change orders now inherit auto-applied adjustment behavior so adjustment rules continue to apply when items are added to a change order. This ensures adjustment calculations carry forward into the change order workflow instead of being omitted.

Reassign time entries to a different project

Service time entries can now be reassigned to a different project from the edit form. Changing the project re-scopes the available project task and labor type selections, and saving moves the linked time and job-costing impact from the original project to the newly selected one.

Site city and state on service call cards

Service call cards and related list views now show the site city and state when that address information is available. This gives dispatchers a quicker way to understand service call location without opening each record individually.

Calendar feed URLs for scheduling

Next on-site date on project cards

Project cards on the main Projects board can now show the next scheduled on-site date when one exists. The card displays the earliest upcoming on-site visit directly below the financial value line, giving users scheduling context at a glance.

Total Contract Value or Outstanding Balance on the Projects board

Organizations can now choose whether project cards and stage totals on the Projects board display Total Contract Value or Outstanding Balance. This setting is controlled at the organization level from Project Stages settings, and the board download follows the same active financial lens.

The Ready to Order page now supports CSV export for the full filtered result set. Exports include project, supplier, quantity, cost, and item detail columns, and they honor the current filters and sort order used on the page.

Route received units to projects or stock

Receiving a purchase order in IAM mode now opens a routing hub that groups newly received units by destination project or stock. From this screen, users can jump directly into project-specific assignment flows or route non-project units into the existing stock check-in workflow.

Plain text presets for Note to Supplier

The Purchase Order Note to Supplier field now supports Plain Text Presets, allowing users to insert reusable saved notes directly into the field. Presets are shared across the account, can be managed from the field experience, and remain plain-text to match the downstream behavior of supplier-facing outputs.

Rich text editor for internal PO notes

The internal Notes field on Purchase Orders now uses the standard rich text editor. Users can format content, use the same editing tools available on other note and description fields, and continue to view previously saved plain-text notes without data loss.

    • The catalog import review step now flags rows with missing Brand or Model values before import is committed. A new failure filter and inline warnings make these problem rows easy to identify, and import actions are updated so users do not proceed without addressing them.

  • US territory supplier visibility

    • Dealers in US territories can now see US-based suppliers in the supplier filtering flow. Territory names and codes are treated as US values so affected dealers gain access to the same supplier catalog visibility as other US-based accounts.

  • Expanded supplier auto-authorization

    • Lead source supplier registration flows now support broader supplier auto-authorization behavior across all supported authorization credential types. The registration prompt can now appear regardless of dealer country, and additional credential fields are supported for both immediate connections and approval requests.

  • Salesperson profile pictures on Accounts

    • The Accounts page now shows salesperson profile pictures in the Salesperson column when a profile image is available. If no profile picture exists, the existing initials display is still used.

  • Account type change activity log

    • Changing an account’s type now creates an activity log entry on the account. The activity message records both the previous and new account type values for easier auditing.

Drawings

  • Lock and unlock drawings

    • Users can now lock or unlock drawings and their associated bill of materials directly from the Drawing Manager. Locked drawings are clearly identified and remain protected from edits across refreshes and future sessions until they are unlocked by a user with permission.

  • Title Block Manager

    • A new Title Block Manager provides a centralized place to browse, preview, apply, edit, rename, duplicate, and delete title blocks from the diagram manager. The manager uses a two-panel layout with a title block list and live preview, making it easier to manage reusable drawing layouts.

    • A new Title Block Editor lets users create and edit title blocks for drawings using configurable paper sizes, grid layouts, mapped fields, and reusable content boxes.     • The Title Block Editor now includes a dedicated canvas toolbar with controls for placing boxes, selecting objects, deleting content, refreshing the canvas, auto-fitting the layout, zooming, and locking the toolbar.   • Multiple connections between the same devices

    • Users can now create multiple wired connections between the same two devices without overwriting existing links. Each connection retains its own ports and cable metadata, and the interface displays them clearly so they can be reviewed, edited, and documented independently.

  • Title Block Manager in Settings

    • Title Block Manager is now also available from Settings under Drawing, giving users another centralized place to manage title blocks. From this view, users can create, iterate, edit, delete, share, and set default title blocks with changes propagating across supported drawing workflows.

    • Users can now create a Connection View from the Overview > Drawing area by selecting systems and locations to define the scope. The generated workspace filters the project data accordingly and provides a separate visualization surface for connecting AV and network devices.

    • A customizable Cover Page is now available in the drawing manager as a reusable first page for project documentation. Users can apply title blocks, edit mapped fields, and customize branding and layout content directly within the drawing workflow.

  • Title blocks on proposal attachments

    • Proposal attachments can now open Plan View diagrams with the selected title block already applied. The proposal editing flow supports browsing quote and opportunity diagram assets, adding them as attachments, and reopening them in context with the saved title block selection.

  • Standardized diagram export filenames

    • Diagram exports for quote drawings now use a standardized filename format based on opportunity, quote, drawing type, drawing name, and timestamp. This naming is applied consistently across PDF and PNG export flows for all supported drawing types.

  • Two-step connection workflow

    • Diagrams now support a two-step connection workflow where users select one item and then a second item to create a link. After the connection is made, both items are automatically deselected and a Refresh control is available to reload the diagram state.

  • Webhook Delivery Log

    • A new Webhook Delivery Log gives users visibility into webhook delivery activity for their account. It includes filtering, search, delivery detail views, summary statistics, and manual retry support for failed or dead-lettered deliveries.

  • Internal link copy confirmation

    • Copying an internal link from externally shared areas now shows a confirmation prompt before proceeding. The message explains that the copied link requires a valid D-Tools Cloud user and directs users toward the share link option for external recipients.

  • Manage Settings permission

    • Pool-tracked products now open a dedicated inventory detail page variant that keeps the existing route and summary layout while replacing the assets table with a by-location quantity view. Audit of Drop Down Remove Button

Optional dropdowns throughout D-Tools Cloud now have a red X to clear your selection and return the field to blank. We did a platform-wide audit so the behavior is consistent everywhere a non-required dropdown appears, meaning you're no longer stuck with a placeholder value when you'd rather leave a field empty. Required dropdowns still enforce their selections as before.

Indent Subcategories in Settings

When you expand a category on the Settings Category page, its subcategories now appear indented underneath it. A small visual change that makes the hierarchy much easier to scan, so you can tell at a glance which items are top-level categories and which are nested beneath them.

Mobile Installer App should expose inventory checkout flow on service calls (parity with browser)

Field techs can now check out inventory-tracked items directly from the mobile installer app, closing a gap where the browser had a checkout dialog but the app didn't. Adding an inventory-tracked item to a service call still creates the line as Requested as it does today, but now a checkout action is right there in the flow — pick the warehouse location, the status flips to Delivered, and you can mark it Installed without leaving the app or waiting on office staff.

Onboarding Banner Scoping (Hybrid Inventory Tracking)

The QR label onboarding banner no longer counts assets from Pool-tracked products, so you won't see prompts to print labels for products that don't have asset records in the first place. The banner also now scopes its counts to assets created through Upgrade, CSV Import, or Tracking Mode Change — the situations where label setup actually matters — rather than every asset record in your system.

Project Item Status Scheduling Filter by Inventory-Tracked vs Non-Inventory-Tracked Items

A new filter on the Project > Item Status > Scheduling tab lets you narrow the view to just inventory-tracked items, just non-tracked items, or all items together. Helpful when you're scheduling around what's actually being pulled from inventory versus what's drop-shipped or otherwise handled outside the warehouse. The filter lives in the standard filter drawer and only appears for tenants on Inventory Asset Management, where the distinction matters most.

QR label settings

A new QR Labels subsection under Settings > Inventory gives admins a place to configure how asset labels print. Choose your default print format (PDF out of the box, or Brother Roll Printer), and pick what shows on the label itself: the QR barcode with just Asset ID and serial number, or the QR barcode plus key asset information. When you opt for the richer label, any change to that asset's information automatically triggers a fresh label to print, so you can adhere the updated version over the old one. Brother printer configuration covers label size, orientation, and print quality. Settings are admin-only and global for now, with per-computer configurations on the radar for when different printers and label sizes start mixing in the same shop.

Settings > Inventory - Rebrand Basic/Advanced to Pools/IAM

The Settings > Inventory Management page is getting a refresh that makes your current inventory mode clear at a glance and gives you a cleaner way to switch between them or turn inventory off entirely. The two modes are now called Inventory Counts (pool quantities and locations) and Inventory Asset Management (individual asset records with QR labels, serials, and lifecycle history).
If you're on Inventory Counts, you'll see a side-by-side comparison of both modes with a clear upgrade path to IAM. If you're already on IAM, you'll see your active mode with the features it unlocks — Asset Browser, Asset Workflows, Asset Labels, Asset Reports, and Audit Log — plus a way to switch back to Counts if needed. Mode switches walk you through exactly what will happen to your data and reservations before you confirm, so there are no surprises.

Update product asset table to include, ip address, mac, and firmware fields as columns

The asset table now supports IP Address 1, IP Address 2, MAC Address 1, MAC Address 2, and Firmware Version as columns you can toggle on or off through the column picker. Handy for spot-checking network details across your assets without opening each one individually.

Asset QR labels can now include a much richer set of fields beyond the basics: current status, allocated project (with name, ID, phase, and location like Primary Bedroom), allocated service call, associated PO, first 50 characters of the asset's notes (sanitized of formatting and emoji), unit cost, and the last printed label date. If a field is configured to show but has no value for a given asset — say, no project is allocated yet — the label still prints the field header with a blank value so it's clear the data point is empty rather than missing. To make room for all this information, you may need to choose a larger label size in your settings.

When a dealer sends a purchase order to a supplier whose catalog pricing has changed, D-Tools Cloud will flag any line items where the manually entered cost no longer matches the latest catalog price. The warning shows the variance between the two values so the dealer can see exactly what's changed before the PO goes out. From there, the dealer can choose to sync to the current catalog pricing or keep their own manually entered cost and proceed. This helps dealers catch outdated pricing before it reaches the supplier, while still leaving the final cost decision in their hands.

It is now easier to prevent the account number from being accidentally changed on an account. Clicking on the account number will now bring up a pop-up to change the number instead of changing the number into an editable field. A new permission, Manage Account Number, has also been added to allow you to limit which users can and cannot modify the account number.

Pinned Notes on Accounts

It is now possible to pin notes on an account. Pinned notes will always float to the top of the page on the Notes tab for the account. The Details tab of the Edit Account page will now show up to five of the newest added pinned notes giving you control on what appears on this page.

Service Contracts Tab to Edit Account

A Service Contracts tab has been added to the Edit Account page. This tab will list all service contracts for the selected account. You can quickly open the service contract as well as use filters to find a specific contract.

Rebrand: "Basic/Advanced Inventory" → "Inventory Pools/Inventory Asset Management" site wide

The two inventory modes have new names that better describe what they actually do. Basic Inventory is now Inventory Pools, and Advanced Inventory is now Inventory Asset Management (or just Asset Management / IAM where space is tight). Same functionality, clearer language across every menu, label, and setting where these appear.

It is now possible to change the recommended item and remove options from an alternate set on a quote when you do not have access to edit catalog items. You are still prevented from updating the alternate set as the catalog level in this situation.

Cost/Price of Allowance Based Off Costs

Allowances with calculated costs and/or prices can now have the cost/price based off the product cost, labor cost, or a specific labor type’s cost.

Enhance Item Search on Quotes and Change Orders to Use Natural Language

The natural language and keyword search experience from the D-Tools Library is coming to the search on quotes and change orders allowing you to find products, labor, and allowances the same way whether you're browsing the catalog or building a quote/change order. One search box handles both natural language and keyword queries — no toggle to flip between them — and a microphone icon lets you search by voice. Please note that this feature is being rolled out to a select number of sites at first with access for everyone after the Beta period.

In addition to being able to customize the text of the terms and conditions, you also have control over how they are presented and if your customer must agree to them prior to accepting the proposal. Once the terms and conditions have been accepted, you can see who and when they were accepted and the text is locked from being edited. You are not limited to just a single section and sections can also be included in proposal templates.

  • Revert MSRPs to Catalog Values – Bulk A new "Revert MSRPs to Catalog Values" button on the Catalog Settings MSRP page lets dealers reset MSRPs in bulk.   • Analytics Opt-Out Setting A new analytics opt-out setting is available under Settings > Account > Company Profile. This gives users a way to disable dealer analytics participation from a dedicated card on the Company Profile page.

  • Change Orders – Pending Payment Status A new "Pending Payment" status in the change order workflow gives project managers clear visibility into accepted change orders awaiting payment, improving tracking, follow-up, and cash flow reporting without altering existing approval behavior.

  • Purchase Orders – Pending Inventory Check-In Indicator Purchase order list data now includes a pending inventory check-in indicator. This supports visibility into received items that have not yet been checked into inventory and surfaces check-in status more clearly on the PO list.

  • Purchase Orders – Preserve Shipping Address Purchase orders now support keeping the shipping address set to the shipping address instead of defaulting to the billing address. This helps prevent shipments from being sent to the wrong destination during PO creation and editing.

  • QuickBooks Online – Payment Terms Export Invoices exported to QuickBooks Online now support sending payment terms through SalesTermRef. Exported invoices carry the corresponding QBO terms label in addition to the due date.

  • Job Cost – Chronological Phase Sort The Job Cost table now sorts the Phase column chronologically by phase start date. Phases without a start date sort alphabetically, and the unassigned phase is always listed last.

  • Tooltip Suppression During Multi-Select Tooltips are now suppressed while the Ctrl key is held for multi-selection in Connection View. This prevents tooltip interference during selection and restores normal tooltip behavior when the key is released.

  • AI Search D-Tools Cloud now includes AI Search — a natural language search that lets you find products by describing what you need, not just by knowing the exact name. Search across your catalog using everyday language, manufacturer names, product categories, or exact model numbers and names, all from a single search bar. Whether you're browsing broadly or hunting down a specific product, AI Search has you covered — no more switching between multiple searches to track down what you're looking for.

  • Account Salesperson Activity Logging Accounts now generate an activity log entry when the salesperson field is changed. The entry records the previous and new values for clearer account-level auditing.

  • Collapsed Nav Tooltip Position Tooltips for the collapsed navigation bar now appear to the right of icons instead of below them, improving visibility and preventing hovered tooltips from obscuring nearby navigation options.

  • Persistent Nav Expansion in Quotes and Projects The expanded state of the navigation bar inside quotes and projects is now remembered per user. Once expanded, it stays expanded across quote and project pages until the user chooses to collapse it again.

  • Account Peek – Mobile Number and Subaccount Context Account peek pop-ups now show the mobile number for individual accounts and indicate when the current record is a subaccount. They also display the related primary account to provide clearer account context throughout the application.

  • Tooltip Persistence on Hover Tooltips now remain visible when the cursor moves from the source item onto the tooltip itself. They only dismiss after the cursor leaves both the item and the tooltip, improving interaction without flicker.

  • Add Items to Multiple Package Headers Users can now add new items to multiple selected package headers at the same time on Edit Quote. The Add Items experience also shows how many packages are selected when more than one package is being updated.


🆕 New Beta Feature — Inventory Asset Management

Available behind a feature flag with this release. General availability planned for our June release.

Inventory Asset Management transforms D-Tools Cloud from counting stock to tracking individual assets. Where basic inventory tells you how many you have, Inventory Asset Management tells you which one is which — every physical unit gets its own record, its own serial number, its own audit history, and its own identity across the warehouse, the project, the install, and the service call that comes two years later.

It's built for AV integrators who need to know exactly which unit is on which shelf, allocated to which room, installed at which customer's home, and still under warranty on which P.O. A full per-unit paradigm, backed by QR labels, barcode scanning, and a lifetime audit trail — all inside the D-Tools Cloud workflow you already use.

A few things to know about V1:

  • QR labels generate as PDF at launch. Direct integrations with Brother and Zebra label printers are on the near-term roadmap.

  • V1 unitizes every tracked item. A hybrid model (consumables as pooled counts, serialized items as units) is in planning for a future release. For now, the strongest use case is serialized and high-value assets.

  • Customers switching from basic to Inventory Asset Management will have existing project reservations cleared, since units need to be re-selected against specific assets. A backup export is provided automatically during the upgrade flow.

Archive Deleted Invoices
Easily archive any invoice and it will be moved into a read-only state that preserves the full invoice snapshot, including line items, taxes, totals, notes, attachments, and activity history. The archive retains the original invoice number, preventing reuse, and keeps these invoices searchable, exportable, and accessible via filters and API without affecting project or account balances. If the invoice no longer needs to be retained, it can still be permanently deleted.

Projects – Overview Improvement
The Projects Overview page now uses a calendar-style project view with switchable 1-, 6-, and 12-month ranges and support for project phases and key dates. You can see an expanded, timeline-aligned view of project phases, add new phases and key dates from dedicated buttons, and work with helpful empty states when project dates are missing.

Checklist Templates
A centralized checklist template system is now available, allowing you to create, save, and manage reusable checklists that can be applied across multiple areas of the application. Templates remain linked to a master version while still supporting local customization, improving process consistency and reducing repetitive setup work.

Proposal Gallery Image Display Across Devices
Image galleries within proposals now scale more effectively across desktop, tablet, and mobile devices when "scale to fit" is enabled, ensuring images remain fully viewable on phones and providing a more consistent viewing experience across screen sizes.

Permission to Control Quote Item Pricing Edits
A new "Manage quote item pricing" permission has been added under Opportunities to control which users can edit billable status, unit price, margin, and markup on quote items. When users lack this permission, pricing fields become read-only while they can still adjust how margin and markup are displayed.

AI Scope of Work Cache Improvements
The AI-generated SOW cache now automatically expires and refreshes when quote items or relevant opportunity fields are added, deleted, or modified, keeping AI output aligned with the current quote and opportunity configuration. Content is also cached and reused when the same SOW process is rerun within a ten-minute window, reducing unnecessary regeneration.

Expanded Filter Experience
The modern filter experience previously introduced on Contacts, Opportunities, and Projects has been rolled out to additional areas of the application, bringing a more consistent and streamlined filtering interface across more pages.

Labor Cost Column on Quote Items
A "Labor Cost" column has been added to the quote items grid in Design | List, available through the Show/Hide columns menu. This column displays per-item labor cost and includes a total at the bottom to support more detailed cost analysis.

Projects – Salesperson Filter
Projects now include a Salesperson filter in the "All filters" panel, supporting multi-select. This filter appears alongside the Project Managers filter and helps you focus views on projects sold by specific team members.

Proposal Analytics Tab Updates
The Proposal Analytics tab on Edit Quote now tracks separate records for email, SMS, and link-based proposal shares. The grid includes recipient name and status, method, contact details, timestamps, and supports actions such as resend, remove/grant access, and delete.

🎉New Features

Time Entries – Lunch Deduction

A new Lunch checkbox has been added to time entries, automatically deducting 30 minutes from total hours

worked when selected. The deduction is reflected in both the time entries view and CSV export, and is disabled

for overtime entries.


Dynamic Connection IDs in Connection Diagrams

Connection lines now automatically display a unique Connection ID directly on the line when two items are

connected, with the label staying attached as lines are moved or rerouted. You can configure whether the ID

appears above or below the line via diagram-level display settings.


Diagram View Enhancements

The Connection View now automatically switches to a newly created diagram when using Save as New or

Duplicate, and the diagram title updates in real time when renamed — no page refresh needed.


Enhanced Tooltips in Connection Diagrams

Hovering over items, port nodes, and connection lines now displays contextual tooltips with key metadata —

including System, Product Name, Signal, wire details, and endpoint information — so you can quickly inspect

your schematic without opening separate property panels. Item tooltips also include a View Connections button

to isolate related connections and a Show Details link for the full product view.


Feature Enhancements

Inventory Page Scoped by Location

The Location filter (renamed from "Warehouses") now drives all KPI cards, quantities, and item counts on the

inventory page, so everything reflects only the selected location's data. A toast notification confirms when you

switch from All Locations to a specific location.


Mobile Number and SMS Messaging

Mobile phone and SMS Messaging opt-in/out fields have been added across Accounts, Additional Contacts, and

the Contact page for Individual account types when SMS is enabled. All fields stay in sync across linked records

and are logged in activity history.


Default Account Type Setting

Admins can now set a default account type (Individual, Business, or Institution) under CRM Settings, which

will be pre-selected across all account creation flows including Add Account, Add Service Call, and Add

Opportunity.

Improved Add Account Workflow

The Add Account flow has been reorganized with clearer section groupings and simplified contact handling —

only new contacts can be added. A new "Create and New Contact" button opens the Create Contact page pre-

populated with the relevant account context.


Inline Scope of Work Editing

The Scope of Work editor is now embedded directly on the Quote Summary tab instead of opening in a modal,

with Save, Discard, and Delete actions and a warning if you navigate away with unsaved changes.


AI Scope of Work Improvements

The AI-generated Scope of Work now correctly handles alternate sets, optional sets, and client-selectable items

— clearly distinguishing confirmed deliverables from optional or alternate choices so customers have an

accurate picture of what's included.


Updated Proposal Creation Options

The Classic and New indicators have been removed from proposal type options, with updated descriptions to

better guide your selection between Multimedia and Quick Quote.


Confirmation When Adding Items to All Locations

A confirmation prompt now appears when using Quick Add with "All Items" selected on a quote, preventing

unintentional additions across multiple locations.


Scope of Work Templates on Quote SOW Tab

The ability to insert SOW templates has been restored to the inline editor on the Quote Summary tab via a new

icon in the toolbar.


New Filter Drawer on Opportunities, Projects, and Contacts

Filters on these pages have been consolidated into a scalable side panel with live filtering, expandable

categories, and a search field — replacing the previous inline approach for a cleaner layout.


Temperature Scale Setting for Weather Icons

Admins can now choose between Fahrenheit and Celsius under Settings > Account > Regional Format, applied

across all calendar views.

AI-Powered Product Library Search

The D-Tools Product Library now supports natural language search, so you can find products by describing what you need in plain language instead of relying on exact keywords or filters. Search with phrases like "TVs over 70 inches" or "Cat6 cables under 10 feet" and get relevant results instantly — no need to know exact manufacturer part numbers or navigate through category trees. This speeds up proposal building and project planning by putting the right products at your fingertips faster.

Note: This feature is being rolled out as Early Access to a select group of users first, with General Availability planned for the March release.

Global Calendar

A new company-wide calendar brings all your key dates into a single view — project tasks, service appointments, meetings, recurring events, and to-do lists. Instead of switching between separate schedules, your team can see everything happening across the organization at a glance. This makes it easier to identify scheduling conflicts, balance workloads, and coordinate resources whether you're managing installations or dispatching technicians.

Interconnect Schematics

Design and document device connections directly inside D-Tools Cloud with a drag-and-drop diagram canvas — no external CAD tools or spreadsheets needed. Interconnect Schematics provide standardized, port-level visualizations of how every device connects across your systems, phases, and locations. Because diagrams live inside D-Tools Cloud, connections stay in sync with your catalog, proposals, and project documentation automatically. You can generate field-ready Connection Summary Reports in seconds, giving installers a precise guide that reduces errors, rework, and miscommunication between your sales, design, and field teams.

Expanded User Permissions for CRM and Inventory

Administrators now have much more granular control over what team members can access and modify across both Inventory and CRM. New permissions include:

  • Inventory: Check in/out inventory, edit asset details, adjust quantities, import/export asset data

  • CRM: Create and manage accounts, delete accounts, create and manage contacts, delete contacts, export account and contact data

All permissions are configurable per user group, so access levels match each team member's role. Existing customers will have delete permissions enabled by default on upgrade, while new customers will have them on for administrators and off for standard users.

QuickBooks Online Statement Memo Mapping

When creating a QBO invoice from D-Tools Cloud, a new "Memo on statement" field is automatically populated with your D-Tools invoice number, project name, and invoice type. This lets your clients and accounting team match payments on QBO statements without cross-referencing back to D-Tools Cloud. It reduces confusion during reconciliation, saves time for your back office, and creates a consistent paper trail between project management and accounting.

Smarter Inventory Receiving

The receiving workflow has been improved to save time and reduce errors when checking items into your warehouse. When an item exists in only one location, the dropdown is now pre-filled automatically — saving a step on every receive. The location dropdown also displays in a clear, nested hierarchy matching the Inventory page's warehouse filter, and each location shows the current on-hand quantity so you can see where stock already exists before choosing where to check in. Together, these changes make receiving faster and more intuitive.

Purchase Order "Draft Completed" Status

A new status has been added to the purchase order workflow, sitting between "Draft" and "Ordered" with a distinct dark gray indicator. This clearly signals that a PO is fully prepared but hasn't been sent to the supplier yet, improving handoffs between team members who prepare POs and those who authorize or place them. It prevents orders from being sent prematurely and brings more clarity to multi-step approval workflows.

Inventory Disable History and Recovery

D-Tools Cloud now saves a snapshot of your inventory data each time inventory management is disabled, including a downloadable export file. You can access the full history of disabling events directly from the inventory page and recover previous data if you need to re-enable or reference historical records. This gives teams confidence to adjust their inventory setup without risking data loss.

Redesigned Inventory Page

The inventory page has been refreshed with a cleaner layout, updated banners, and more prominent setup actions. New users will see clearer calls-to-action for enabling and configuring inventory management, and the improved visual hierarchy makes key actions easier to discover. This reduces the learning curve for teams getting started with inventory.

Bulk Asset Information Updates

A new bulk update feature will let you update multiple assets at once — including serial numbers, firmware versions, and notes — instead of editing each one individually. For teams managing large equipment inventories, this will dramatically reduce time spent on asset administration.

🔧 Feature Enhancements

Improved Account and Contact Search

Several improvements make it faster to find the right accounts and navigate subaccounts. Account search now looks across all contacts associated with an account — not just primary contacts — helping prevent duplicates. The Subaccounts tab includes a new search box with pinned controls that stay visible as you scroll, and subaccount filter logic has been refined so only subaccounts matching your active Type, Owner, Status, and Duplicates filters are shown.

Inventory Allocation User Tracking

Inventory history for item allocations now shows the name of the user who made each change. This makes it easy to see who reserved or unreserved stock for a project, improving accountability and simplifying troubleshooting when discrepancies arise.

Tax-Exempt Feature Toggle

A new setting on the CRM Settings page lets you turn off the tax-exempt feature if your business doesn't use it, keeping account forms cleaner for teams that don't work with tax-exempt clients. Built-in safeguards prevent disabling the feature when tax-exempt records already exist.

The Projects Scheduling view now refreshes automatically after creating or editing an event — no more manual page reloads to see your latest changes. This also prevents duplicate event displays and keeps your calendar accurate in real time.

The unused Quote Checklist option has been removed from Settings. The Service Plan label has also been updated from "Limited/Extended Warranty Coming soon!" to "Limited/Extended Warranty Planned" to better reflect the feature's current status.

🎉 New Features

Subaccounts

D-Tools Cloud now supports subaccount relationships, giving you a structured way to manage parent-child account hierarchies directly within your CRM. You can link existing accounts as subaccounts, create new subaccounts from the dedicated Subaccounts tab on any account, and see all relationships at a glance with indented subaccounts on the Accounts table. The system includes safeguards to prevent circular relationships or multi-level hierarchies, and account merges have been updated to properly handle subaccount transfers. Audit logging tracks when subaccount links are created or removed, and deleting a subaccount automatically cleans up its primary account links. Administrators can control who has access to manage subaccounts through a new "Manage subaccounts" permission, and the entire feature can be toggled on or off from the new CRM Settings page.

Sample User Groups

Four predefined user groups — Project Manager, Sales, Accounting, and Inventory — are now available to help you get started with access controls faster. Each group comes with a sensible set of default permissions tailored to that role, so you don't have to configure everything from scratch. Admins can edit, rename, or delete these sample groups at any time to match your team's specific needs.

AI-Generated Scope of Work

You can now generate a Scope of Work automatically using AI directly from within your quote. Click the Cloud AI icon and D-Tools will create an SOW based on your opportunity description, account information, and items by system — saving you time on one of the most repetitive parts of the proposal process. You can review and edit the generated content before including it in your proposal.

Advanced Inventory: Serial Number Capture and Asset-Level History

Two foundational features are being prepared for the upcoming Advanced Inventory release. Serial number capture lets you input serial numbers for each asset as it's checked in during receiving, with safeguards against duplication. Asset-level history tracking records all changes, updates, and movements for individual assets — including timestamps and the user who made each change — starting from the moment an asset is received.

Note: These features are not yet in production and are in preparation for Advanced Inventory, planned for release in Q2 2026.

🔧 Feature Enhancements

Invoice Improvements

Several enhancements make invoicing clearer and more flexible. The invoice number now displays prominently under the Invoice header, and a new column shows the invoice number for each payment term so you can quickly identify which invoice belongs to which milestone. Transaction fees can now be included directly on invoices, and the Paid card shows the total amount including any convenience fees with a tooltip for the specific fee amount. All columns on the Invoice page are now sortable, with your sort preference saved per user and view.

QuickBooks Online Taxable and Non-Taxable Labels

When syncing invoices to QuickBooks Online with the "Divide Taxable and Non-Taxable Totals" option enabled, the system now appends "Taxable" or "Non-taxable" to line descriptions automatically. This makes it easy to identify which split lines carry tax and which don't, directly within QBO.

My Calendar Improvements

Several updates make the calendar experience smoother. The New Event modal now defaults to your working hours from Settings (or 8am–4pm if not set), so you spend less time adjusting times manually. The side panel now refreshes automatically when events are deleted or edited, keeping your view up to date. The weather icon has also been updated to no longer show a clickable cursor, accurately reflecting that it's for display only.

Proposal and Alternates Improvements

Working with alternates on proposals is now smoother and more polished. In present mode, expanding an alternate set will no longer cause it to collapse again when a selection is made, making it easier for clients to browse options. Additional display refinements include improved capitalization, clearer accessory and price presentation, and a more consistent layout for Optional Sets.

Job Costing Column Improvements

The Job Costing table now separates previously combined columns into individual columns for actual, budget, and variance values across Total Cost, Product Cost, Labor Cost, and Labor Hours. This gives you a more detailed and customizable view of project finances, making it easier to spot where a project is tracking on or off budget.

Service Project Type Restored on Opportunities

The "Service" option has been re-added to the Project Type dropdown on the Add Opportunity page. This was removed previously and has been brought back based on customer feedback, allowing you to classify projects as service within the opportunity workflow.
