Project-Based PO Numbering

We’d like to request the option to automatically generate Purchase Order numbers based on the project number when a PO is created from within a project. Today, PO numbers are assigned independently, so we have to look up the project number, figure out the next available sequence, and manually edit the PO number each time. POs created outside of a project, such as for stock, office supplies, or operational purchases, should continue to use the existing standard numbering.

For users purchasing materials across multiple projects, it would be helpful to have a toggle when creating a PO that determines how the order is organized. The user could choose to either keep all selected items under one consolidated PO, with all associated project numbers referenced in the PO number, or have D-Tools automatically separate the items into individual POs for each project, each with its own sequential project-based PO number. This would provide flexibility for dealers with different procurement workflows.

Once a PO has been created and assigned a number, that number should remain intact if additional items from another project are added. Ideally, D-Tools would provide a warning or confirmation prompt to notify the user that items from another project/catalog are being added and allow them to decide how to proceed.

For example:

If the project prefix is ZCP and the project number is 2000, the first PO created from that project would be ZCP2000-01, the next would be ZCP2000-02, and so on.

The number breaks down as:

  • ZCP: the custom project prefix set in settings

  • 2000: the project start from number

  • 01: the PO start from number
